What is HubSpot Operations Hub?

Whether for a RevOps team or for running Ops for a single department, Operations Hub provides a a unified toolset that connects apps, cleans and curates customer data, and automates business processes under one central CRM platform. This is to drive an efficient, aligned, and adaptable business that delivers a friction-free customer experience.

HubSpot Operations Hub, an evolution of the former PieSync acquired by HubSpot in November 2019, works in the background and syncs a company's contacts two-way and in real time between cloud apps, so that each app has access to the most up to date customer information.

The vendor promises:

1. 3 Minute Setup: Users can take a free trial (no credit card required) by selecting the apps they want to connect, setting up the connection, then hitting “Start syncing”.

2. Ability to customize: Users can change the sync direction, create filters to manage subsets of contacts, sync deletions or unsubscribes, and select one of the apps to be the central database. Syncs can also be paused at any time.

3. Reporting: This is a "Set it and forget it" tool. The tool offers a dashboard to show how many contacts HubSpot Operations Hub has added or updated.

Our main problem was connecting our CRM to cleanse and automate our customer data. For this HubSpot offers native integrations with other applications to create a more efficient, aligned, and agile business. Connect contacts, leads, and our company data in two ways and in real-time. It unites all of your customer data in one connected CRM platform, resulting in a frictionless customer experience. I save operations teams hours of manual data entry, ensure up-to-date data, and maintain a clean, automated database of complex business processes without errors.

In cases of brands that have been in the market for a long time but do not see any impact from new clients or consumers, HubSpot is ideal since it allows to keep the brand fresh in the mind of the audience. HubSpot additionally provides insight into what we're doing and allowed us to align the sales team with company goals. It also ensures that you receive updates from your computer. We can handle all programming requests that come into our team. One thing that HubSpot can improve on is not having a good centralized dashboard that allows for a full view of ALL data coming in. You can go to each piece, but not having them all attached to the board adds a bit of a challenge. It's not very complex to handle, but it would be easier to use if it had that feature.

As we already use HubSpot as our CRM in our organisation, the decision to subscribe to Operations Hub made sense. We use it to Synchronise, clean, and curate our data and automate our processes.

We were using it to sync several softwares and their data together. It was only used for one of our business units as it worked with multiple systems that we used in that business unit. It synced contacts between our previous CRM and our previous Marketing Automation tool. We have since moved on to a new CRM and a new Marketing Automation tool. We moved on from Pie Sync, because we wanted not only contacts to be synced but also activities to be synced, from the Marketing Automation tool to the CRM.
  • It does well at what they say they do.
  • It's easy to set up.
  • It's not as robust as what we needed (we switched to Zapier to get contacts and activities to sync).
They are very good at connecting with a lot of different softwares, and they are really good at syncing contacts between systems. But if you are looking for more functionality, you may need to look elsewhere (like Zapier). At the moment we use neither PieSync nor Zapier since our current CRM and Marketing Automation tool sync directly with each other.

PieSync is a cool product. Two-way integration with different services. We use data exchange with amoCRM and the Mailchimp mailing service, as well as using online chat for the site GIST and synchronization with amoCRM CRM system. The integration took five minutes, and then everything works in automatic mode. I use this product myself as an administrator. For all the time of use, there were no problems.

This service is perfect for continuous automatic exchange of data about your customers between your two services that you use. Unfortunately, it is not possible to integrate with the third service, that is, synchronization is not possible with three services, only there are 2 pairs of integrations. If the contact is present in two connections, they count that contact twice.

PieSync has become an indispensable tool to keep our leads and contacts synced across several software tools we use. One of the biggest issues we had when adding a new piece of software to our marketing mix was fragmented data, it was difficult to keep the data up to date across platforms. PieSync allows two-way data sync so we have confidence client data is up to date no matter what software we are using.

Our customer service team and marketing/sales team now have confidence that data they are looking at is up to date. Deploying the software was easy and once it is set up, works by itself.
  • Very easy to set up and implement
  • Can sync contacts across multiple software platforms simultaneously
  • If I create a contact in one place, I know it will be created in our other software applications automatically
  • Price. It can get expensive if you have to sync a lot of contacts. You are charged on each syn, not on the number of contacts.
  • While most major integrations are available, there are still many popular tools that they do not integrate with so check first.
  • More complex rules and multiple syncs require higher priced plans.
If you have the issue of fragmented contact data across multiple pieces of software, PieSync is the perfect tool to keep contact information up to date across all of your software, regardless of where you enter the information. PieSync makes it easy for customer support and the marketing/sales team use different software but still ensure that customer and lead data is unified across all of your software.

We are using PieSync throughout the organization to normalize client databases between our cloud based applications. Our intent for the application is to reduce the amount of data that has to be entered individually into different applications, which would increase the need for headcount and reduce the amount of time spent on productivity.

  • PieSync should continue to add platforms to integrate, some of my apps are not supported.
PieSync is excellent for managing CRM and marketing data between applications. If the organization is cloud-base PieSync will help you optimize existing apps and make it easy to migrate to a different application if necessary.

Our marketing team used PieSync to connect Hubspot & Prosperworks, our sales CRM. In order to build a true sales funnel, we needed the Hubspot CRM to update when contacts change in Prosperworks. Once the integration was set up, it consistently synced data between the two platforms. Without PieSync, we would have not been able to work with Hubspot or track marketing attribution without switching CRMs. We no longer use PieSync because we eventually did switch CRMs in an effort to further align sales and marketing.
  • Excellent customer support: They will do an intro call with you, and offer you additional assistance in setting up your integrations. They consistently followed up with me and asked for feedback.
  • Simple, straightforward UI
  • None of our integrations have broken/gone offline (which is frequently the case with other platforms we have used).
  • PieSync integrates with a relatively small number of apps. Would love to use it for more functions, but we don't use any of the other software they support.
  • The integration we used (syncing Hubspot to Prosperworks) was limited in what it could deliver. For example, you can only sync CONTACT data and not OPPORTUNITIES or LEADS. We had to find ways to work around this, which we didn't expect going in.
I'd recommend PieSync all day to someone that happens to use the software they support and needs to sync data between the platforms. Compared to other platforms, their integrations are built better but the selection is limited. If I knew the client was using applicable software, I'd 100% recommend. I'd advise anyone looking to use PieSync to not only make sure they support the software they are trying to connect but to also make sure they can sync the specific data within the software.

We are using PieSync to help our existing members connect their data on our system to other systems as well as allowing them to push data from other systems into our system. What is great about PieSync is the two-way sync you can set up so that data can stay up to date between the systems. Their integration is easy to use yet it is very robust. With many options that allow our members to configure the movement of only certain records based on their current status or location within our system. This allows them to build out robust processes to manage their sales funnels.

Piesync has great potential to be a very effective and affordable tool for synchronizing data between multiple platforms. I recommend the developers keep adding functionality as well as tweaking sync options for greater effectiveness for the customer's satisfaction. Customer service was excellent—prompt and techs tried very hard to help.

Big modern interface and easy to use. Not suited for an extremely detailed Salesforce sync—it was unable to sync (if I remember correctly) our actual donation amounts, only text data and that was a deal breaker. Best to add this functionality in the future so auto thank you emails can be generated from Salesforce by the sync of financial data.

I use PieSync with my Shopify software. Piesync allows me to put customer information into my phone. I know who is calling me, and if there is no contact info, I know they are probably new! I used to transfer this data manually. By using PieSync, I have more CRM function without the big cost.
  • It captures name, address, phone, and email. I know who is calling.
  • There are two spots for phone numbers. Therefore, I have to move the phone number from one space to another to have it there. I wish that PieSync would import both spots so I don't have to juggle data.
If they need it, it is a great service.

PieSync is perfect to sync contact data between various SaaS apps and keeps them up to date. It easily integrates with many existing apps and adds new connections on a regular basis.

  • Easy to figure out. Once you login, it's incredibly easy to figure out what to do, thanks to their simple UIX.
  • Easy integrations with many partners. PieSync offers easy integrations with many partners. Integrating is as easy as clicking, filling in your login information and clicking again!
  • Allowing multiple integrations. I'm glad PieSync allows multiple integrations so you aren't limited with how you integrate your different systems with contact information. Very helpful!
  • Allowing CRM to CRM functionality out of the box, instead of needing to ask support.
Great to use if you have a few marketing systems that need to "talk" to each other and keep each other updated. Perfect for small agencies, companies, or freelancers. I wouldn't recommend using PieSync if you have MANY marketing systems that need to be synched. You'd be better off simplifying the resources you use, then putting PieSync in place.

We use PieSync to stitch our many marketing and sales tools together, and it works SEAMLESSLY. Our CRM is synced to marketing automation, which is synced to LiveChat. It reconciles contacts between all our tools. We also like that it is a real-time sync, not a one-time info sync.

We use PieSync to sync our Google contacts to our CRM (Copper). We have used it in the past to sync between different Google contact databases as well. So, we only have to enter contact info once and it populates to our other database. Updates to a contact's data also sync seamlessly.
  • PieSync just works. We set it and forget it. It is completely trouble and hassle free.
  • The setup process was extremely easy to implement and we got everything right the first time.
  • In the plan we have, PieSync does not sync 100% of the fields we might like to sync (although, it syncs 100% of those we need it to sync).
One of the strengths of PieSync is that it allows so many different software databases to sync. If we were to switch our CRM, almost certainly PieSync would work with whatever else we would pick.

PieSync is an easy to use software that allows you to sync data across your multiple different tools. It's unique because other automation tools are simply send data one-way. It's potentially possible to make these other tools sync, but it isn't as effective or simple to set up. PieSync helps you stay organized by ensuring that your data is all up to date, no matter what tool you're logging into.
  • Easy to Set Up - setting up PieSync to sync data is really simple and easy. Just select the 2 apps and the types of data/custom fields that you want to be synced.
  • Easy to Modify - after you setup the sync, you can easily modify or turn it off (if you want to).
  • Visual Editor - there's no coding required and no need to get a developer to help you setup or do any modification.

PieSync is a wonderful tool if two-way sync is important to you. Do not use it if you're looking for an automation software like Zapier. If you're comparing PieSync to Zapier, you should also know that the cost for syncing data using PieSync is much more affordable in comparison to Zapier!

I use PieSync for two purposes in my own business. I have a CRM system which is my central data storage system (important with GDPR looming) but I use other systems for specific purposes. One is my iPhone which I use day to day for communications generally. The other is MailChimp, an email newsletter system with good connectivity with such things as sign up forms on websites or social media.

In the case of the iPhone, any record that I add to my Contacts is automatically added and tagged in my CRM and, the other way round, any record in my CRM that I tag for the purpose, is automatically added to my iPhone Contacts. That means that I have them even if I don't have a data signal at the time, so I can still call or text them if I have a phone signal.

In the case of MailChimp, any Contact that subscribes is added to my CRM; any Contact that unsubscribes is tagged in my CRM; and any Contact that is tagged by me in my CRM is automatically added to my MailChimp newsletter list.

In this way, my CRM keeps a handle on everything going on in my business to do with Contacts whether it was initiated on my iPhone or in MailChimp. That keeps me compliant with the main thrust of the General Data Protection Regulation.
  • It can perform 2-way synchronisation between databases so that changes in one are reflected in the other and vice versa. This differs from systems that rely on triggers which are 1-way actions and therefore are likely to get out of sync over time.
  • It can place tags into databases as it updates them so that an audit trail is created and tracking is enabled.
  • If businesses use data silos (Google Contacts for example) it is possible to pull them all together into a single database with no duplications.
  • The only area for improvement that I can think of is adding more systems to the list of supported applications. This is a one time exercise per application and new applications are being added all the time - but if you have an unsupported application it is annoying!
Many small businesses use free software which is quite understandable but it can create a data headache because there are not many free systems that allow sophisticated data management in a multi-user environment. That leads to huge inefficiencies in both time and data. A classic example might be the preparation of a mailshot (email or paper) which may need to come from multiple sources and will contain duplicates. It is so much easier if the data is automatically deduplicated in the background and is always as up to date as the last change, wherever that change originated. The cost of product like PieSync is nothing compared with the time wasted trying to perform these functions manually.

We're using it for syncing between our marketing automation platform and CRM. It helps keep data in sync between the systems as it should, we recently got started with it though.
  • Keeps data in sync quite quickly.
  • Has possibilities of custom field mapping making it quite useful for the investment.
  • Allows for setting custom rules for who should be synced and any steps on data changes once the contact is synced.
  • The only thing I see is offering more options for which data objects to retrieve data from as well as being able to create actions via POST instead of only syncing data, but for the cost options of Piesync, they are great at what they do!
If someone is looking to keep data in sync automatically when their two systems don't offer this feature I would recommend they check out Piesync. If however they are looking for API posts, I would check the use case before being able to recommend it.

PieSync is being used to support our sales and marketing efforts. We had an issue where our marketing database was in one place and sales had a completely different database. For years the left hand didn't know what the right hand was doing. The business problem solved is that for the first time, it appears that our marketing and sales qualified leads are all in the same database (Nimble) with 2 way replication of the data and subscribe/unsubscribe status. We've experimented with other sync options but Piesync is natively integrated into Nimble which gives us some added confidence that it's well supported and not a "hack".
  • Pie sync offers a 2 way sync between Nimble and MailChimp for us. Subscription status and other conditional logic can be applied to make sure that sales knows that marketing status of a client.
  • Because the syncs are 2 way with the conditional logic, we can make sure to revisit past marketing leads by using sales once a list is scrubbed or an unsubscribe occurs.
  • Piesync isn't limited to Nimble and MailChimp. For reps that want to keep their gSuite email contacts up to date, it's possible to sync all of these contacts with very little effort.
  • It would be nice to have some structured "recipes" similar to IFTTT that allow someone to setup specific functions between apps. This feature is there but not as built out as IFTTT.
We'd love to have a full blown inbound marketing system that is perfectly integrated with our CRM. The trick is, the systems that "do it all" seem to let us known in specific areas. For instance, the best CRM systems tend to have poor inbound marketing automation. The best marketing automation tend to have so-so CRM capabilities. PieSync allowed us to choose what we felt was best in category in each area and combine them.

While we don't have a perfect single pane of glass or a comprehensive dashboard, it's pretty robust and helpful. We tend to default to using our CRM database as the authoritative source of information.
